Preparing a Record of Advice and template documents

Use a client conversation to prepare a Record of Advice, or open a related engagement or agreement workflow. Review the document and use the save and Word controls available in your workspace. The versioned document editor is available only where it is enabled for your account; follow the controls you actually see.

Before you start

  • Confirm that the chosen document type is appropriate under your practice’s review process.

  • Open an active client conversation with write access. Review the profile and select the supporting evidence and relevant ProductRex research scenarios.

  • Have the proposed advice, reasons, fees, scope and unresolved matters ready. Do not treat generated text as an approval to implement advice.

1. State the purpose and instructions

Explain what the document should cover before opening the workflow. For example: “Prepare an ROA draft for the proposed portfolio review, using the selected evidence. Keep unresolved product costs and assumptions clearly marked for review.” Include the client’s objectives, the proposed change and the basis for it. Ask questions first if the source material is incomplete.

2. Open the workflow

Switch to Finley Work. Under the latest response, open More actions and choose Record of Advice. This advice action is shown in Work mode. Finley prepares the draft using the client profile and supporting context. Review any warning about unavailable information. If the response describes a Safe Skeleton, treat it as an incomplete starting structure and supply the missing detail before further use.

3. Review each relevant section

Check the client and adviser identity, Scope of Advice, strategy and product recommendations, portfolio information, replacement analysis, fees and disclosures, and authority wording. Check whether each section is relevant to this matter. Reconcile numbers and costs with the evidence. Search carefully for “To be confirmed”, particularly identity and licensing details, fees, alternatives and missing inputs.

4. Request precise revisions

Use the conversation to explain the change you want, such as “Clarify the agreed scope and remove the section that is outside it.” Review the result. If your workspace shows Edit document, you can edit directly, then choose Save document. Finish or cancel inline edits before asking Finley for another revision. In that editor, change fees in the structured fee table rather than rewriting calculated fee text.

5. Save and download using the controls shown

In the standard Working draft view, Save draft saves a Word copy to client Documents, and Export Word downloads it. Wait for the save confirmation. Where the versioned editor is enabled, wait for Saved and use Download Word; History opens earlier revisions for read-only review. Save any edits before downloading. Open the downloaded Word file and check its full layout before proceeding through your practice’s review.

6. Use the related document options when needed

More actions also includes Engagement Letter, Ongoing Agreement and Annual Agreement. Give Finley the services, scope, fee amounts and frequency applicable to the selected document. Engagement-letter drafting may ask Before drafting questions. Review every service, fee and consent statement in the output. Saving or downloading a document does not send it, obtain a signature or implement its contents.

Check before you finish

  • Check the final document against source records and the practice’s document-review requirements.

  • Confirm the saved result and downloaded file are the intended revision.

  • Resolve or deliberately retain clearly marked outstanding items before review; do not circulate a draft as complete while material fields remain unconfirmed.

If something does not work

  • If a newer revision has been saved by another adviser, preserve your edits, then use Reload saved version when ready to reconcile them.

  • A historical revision, archived conversation or read-only account cannot be edited.

  • If an uploaded template cannot be edited inline, use the existing template export workflow indicated by the app.
