Add and review a manual portfolio

Record an off-platform account and its holdings, then check account totals and asset allocation.

Before you start

  • Open the correct client record. Expand Portfolio in the left menu and select its Portfolio submenu.

  • Have the correct owner, account name and current holding information available.

  • Identify whether the account is manual or supplied by a platform before making changes.

1. Review the current portfolio

Review the existing owner groups and accounts. Where available, use the owner filter to narrow the view. Check Total Holdings, Portfolio Liabilities and Net Portfolio Value against the client information you are using. These figures depend on the records and valuations currently held in Finley.

2. Start the account

Select the + button labelled Add portfolio item. In Create Portfolio, choose the Owner and select Next. Enter the required Account Name and, if useful, an Account Description. Use a name you can distinguish from any platform-linked account, then select Next.

3. Enter each underlying holding

In Underlying Holdings, select Position Exchange and enter Position Description, Inception Date and Units. Add the Position Code and the relevant value, price and currency information. Market Value and Native Value are calculated read-only fields in this form, so review the displayed result carefully. Complete the Asset Class Allocation fields where available.

4. Add the holding to the draft

Select Add holding. Check that it appears in the draft list with the right description, units and values. Repeat for the other holdings in this account. Add holding builds the draft list; it does not finish saving the portfolio. If allocation fields are present, their values must be within 0–100% and total 100%.

5. Save and reconcile

After all intended holdings are listed, select Save portfolio and wait for completion. At least one holding is required. Reopen the account and compare the saved holdings and totals with your source. Use Portfolio → Asset Allocation to inspect the allocation view and any unallocated amounts. Investigate unexpected totals before using them in client work.

Check before you finish

  • The account appears under the intended owner with the correct name.

  • Each holding has the expected units, currency and value.

  • The account is not a duplicate of an existing mapped account.

  • The asset allocation is appropriate to the underlying records and any gaps are understood.

If something does not work

  • Missing account name or owner: complete the earlier step.

  • “Add at least one underlying holding”: use Add holding before Save portfolio.

  • Allocation error: review every allocation field and the total.

  • Load or save error: check whether an account or holding was already created before retrying the entire workflow.
