Preparing a follow-up email

Prepare an editable email from the client conversation, check the recipients and wording, then copy it or open it in your email application for final review and sending.

Before you start

  • Select the correct client, an active conversation and the supporting documents for the follow-up.

  • Check that the intended client and partner email addresses are recorded. The recipient selector uses those addresses.

1. Review the source discussion

Start with a clear summary of what was discussed, what the client agreed and what remains outstanding. For example: “Summarise the agreed next steps and the information we need from the client after the review meeting.” Correct the summary before turning it into correspondence. Do not convert a suggested next step into an agreed commitment.

2. Choose Draft follow-up email

Use Draft follow-up email beneath the latest response. Finley prepares a Follow-up Email workflow card using the response, recent conversation and selected evidence. Read any warning shown with the draft. The card is an editable starting point; check the message against the actual client discussion.

3. Check Recipient and CC

Open Recipient and tick the intended client or partner addresses. Use CC only where appropriate. You can select both people when the email should go to the couple. Selecting an address in one field removes it from the other, and CC starts empty. Check the actual email addresses as well as the names.

4. Edit the subject and body

Update Subject and edit Email body directly. Check the greeting after changing recipients: changing the selected addresses does not rewrite the body. Verify any deadline, attachment reference, request for information and statement of agreed action. Keep the wording suitable for the recipient and avoid adding advice or commitments that have not been reviewed.

5. Save the version you want to keep

Finley attempts to save an initial Word copy when the draft is created. Confirm the Saved to client Documents notification. After changing recipients, subject or wording, choose Save draft to retain that version. The saved text includes To, CC where selected, Subject and the body. This is a document copy, not a sent-email record.

6. Move the email to your email application

Choose Copy email to copy the draft, or Open in email app to open a composed message through your device’s email application. Open in email app is unavailable until a recipient is selected. In the email application, check recipients, subject and body again, add any intended attachments and send only after your normal review.

Check before you finish

  • Check the final greeting and all recipient addresses after any Recipient or CC change.

  • Verify the body does not promise an unapproved action or describe an attachment you have not added.

  • Keep the sent email in your usual client-record process; a saved Finley draft is not evidence of delivery.

If something does not work

  • If no client or partner addresses are shown, review the client record before drafting the email again.

  • If Open in email app does not open a composer, use Copy email and paste into your usual application.

  • If draft saving fails, retain the current card and retry Save draft; confirm success before closing it.
