Create and manage a client project
Use Projects to organise a piece of client work into stages, assign responsibility and track progress. This guide covers Projects inside the Finley app.
Before you start
Sign in to Finley and have the correct client record, project scope and intended team members ready.
If your practice uses a project template, confirm which template applies before creating the project.
1. Open a new project
Open Projects, then select Projects Board in the Projects menu if needed. Select New Project. In Create Project, check Project Template and choose the appropriate workflow, or leave Select template for a project without one. Review the selected template rather than accepting the prefilled choice without checking it.
2. Confirm the client and team
In Client, enter at least two characters and select the correct search result. Check the adviser and practice shown with the result. Enter a clear Project Name, such as “Annual review preparation”. Review the read-only Owner, Revenue, Status and Priority. Under Share with users, select only the people who need this project. Check the sharing list again after changing the template, because the template can supply its own shared users.
3. Save and review the starting tasks
Select Save Project and wait for the project to open. If you chose a template, review the copied stages and tasks, including assignments, due dates and status. Adjust them for this client and the agreed timetable. Template tasks may already contain dates or offsets, so check every deadline before relying on the schedule.
4. Add any missing work
In the task table, use the plus icon labelled Quick add task. Enter a Task subject, choose an existing Task stage or use Create new stage, then review the task order, priority, due date, assigned user and status. Select the tick icon labelled Create task. For example, add “Confirm outstanding fact-find information” and assign it to the responsible team member. If that person is unavailable in the assignment list, check Share with User at the top of the project.
5. Keep the project current
Update task priority, due date, Assigned To and Status in the table as work progresses. These changes save when you make them. Use the description edit icon for the task brief; in that window you can add Task Files and select Save Task. Use comments to record a clear handover or explain a blocker. When the overall piece of work is finished, review the tasks and change Project Status to Completed. The task completion percentage and project status are separate controls.
Check before you finish
The project shows the correct client, owner, shared users and client-specific task list.
Each active task has an appropriate person, deadline and status; reopen important edits to confirm they were retained.
The Completed percentage reflects tasks marked Done or Completed. A completed task list should still be reviewed before changing Project Status.
If something does not work
No projects found: check the Active/Completed/Archived/All filter, clear searches and review other pages. Ask the owner to check sharing if the project is still missing.
Template tasks did not copy: inspect the project that was created before trying again. A save error can occur after project creation, and a second attempt could create a duplicate.
An assignment is missing: add the appropriate person under Share with User and check again. Available users depend on the account and project configuration.
