Working with documents and source evidence

Upload client evidence, choose what Finley can use in a conversation, check passage references and find saved output. The document library belongs to the selected client.

Before you start

  • Select the correct client and conversation. You need write access to upload or change document selections.

  • Use files you are authorised to place in that client’s shared library. Each upload must be non-empty and no larger than 20 MiB.

1. Open Documents

In the client knowledge panel, choose Documents. The Document library lists files and their processing status. Select Upload documents and choose one or more files. Supported choices include PDF, DOCX, text and common image formats. Use clear filenames so colleagues can recognise the source and its date.

2. Check duplicate filenames

If Finley finds the same filename, choose Skip this file or Upload another copy. Upload another copy leaves the existing document in place; it does not replace it. To replace a ready or failed document deliberately, use that file’s three-dot actions and Replace file. Check that you have the correct version before proceeding.

3. Wait for processing, then select the evidence

Files may be queued or being indexed before they become ready. Tick the ready files you want included. Newly uploaded files are not selected automatically. Select ready selects up to 50 ready files from those currently loaded, while Clear selection removes the selection. Use Load more documents when more files are available. Deselecting a file leaves it in the library.

4. Ask a source-specific question

For example: “Using the selected meeting transcript, list the client’s stated goals, agreed actions and points still to confirm. Include passage references.” Name the topic or document when several files are selected. A changed selection applies to later messages; it does not rewrite an earlier answer.

5. Check the source passage

Select a passage reference in Finley’s response. The Source passage preview shows the document, passage number, version and page or section where available. Read the text and select Open source document when you need the surrounding context. A passage number is not necessarily a page number. Retrieval supplies selected passages, so it should not be treated as a complete document review.

6. Find saved output

A successful Save draft creates a Word file in this client’s Documents tab. Wait for its ready status before selecting it as evidence. Use the file’s download icon to retrieve it. If Previously saved drafts appears below the file list, it contains older saved conversation drafts: search them and choose Open document. Opening one may restore its original conversation.

Check before you finish

  • Make sure the intended files are ticked and have ready status before asking the next question.

  • Check important amounts, dates and client instructions against the original source, even where Finley supplies a reference.

If something does not work

  • For a failed file, open its actions and use Retry, or replace it with a readable copy.

  • If a passage preview is unavailable, ask Finley again with the relevant documents selected.

  • Feature-unavailable, practice-mapping or access messages need administrator attention; a successful upload cannot be assumed from an empty or unavailable list.
